AI Email Assistant - An AI email assistant that drafts replies from your own answers
Sandlabs builds you an AI email assistant that reads every incoming message, flags what is urgent, and drafts a reply grounded in your own pricing, policies, and FAQs — for a human to approve and send. Not a generic ChatGPT guess. Works inside Gmail and Outlook, with AU data residency available.
- Inbox triaged by priority
- 24/7
- You approve — never auto-sent
- Draft
- Grounded, not guessed
- Your KB
- Data residency available
- AU
Where customer-facing teams lose time today
- Urgent emails — a hot lead, a complaint, a cancellation — buried under newsletters and noise, answered hours too late.
- The same routine questions answered over and over: opening hours, pricing, availability, "where is my order?".
- Slow first response — leads go cold and quotes get lost to whoever replied faster.
- Inconsistent answers depending on who picks up the shared inbox that day.
- The owner or senior staff stuck as the bottleneck on every non-trivial reply.
- After-hours and weekend email sitting untouched until someone is back at a desk.
AI workflows for customer-facing teams - What we build for customer-facing teams
Every engagement is fixed price and founder-led. We scope, ship, and support — typically 2–8 weeks from kickoff to production.
- Priority triage on every email. Each incoming message is classified — critical, high, or routine — using rules tuned to your business, so the inbox surfaces what actually needs a human first.
- Grounded reply drafting. The assistant retrieves the relevant answer from your own pricing, policies, and FAQs and drafts a reply from that — not from a generic model guess that could be confidently wrong.
- Connect your knowledge source. We ingest your FAQs, price lists, policy docs, and canned answers so every draft is anchored to your real, current information — and re-index it as things change.
- Your tone, your brand. Drafts are tuned to how your team actually writes — warm, formal, or to-the-point — so replies read like you, not like a bot.
- Native drafts in Gmail & Outlook. The reply lands as a real draft in the inbox your team already works in. A human reviews, edits if needed, and sends. Nothing goes out without approval.
- Visibility you never had. See response time on priority email, draft-acceptance rate, and how many routine questions the assistant handled — so you know it is actually saving hours.
Why Sandlabs - A grounded email assistant, not autocomplete
Native Gmail and Outlook AI can summarise and smart-reply, but it does not know your prices, your policies, or your booking rules. We wire your own answers in and keep a human in the loop — so the assistant is genuinely useful and genuinely safe.
- Grounded, not guessed. Every draft is built from your own knowledge source, so answers are right and on-policy, not plausible-sounding fiction.
- Draft, not auto-send. The default is human approval. A wrong reply never reaches a customer because a person always sends.
- Your inbox, not another app. Drafts and priority labels live in Gmail or Outlook where your team already works. Nothing new to learn.
- Tuned per business. Category rules and tone are configured for you, not a one-size-fits-all template that competes with free native AI.
- AU data residency available. Inference can run on-shore via AWS Bedrock in Sydney, with a clear data-processing agreement. Your email is never used to train public models.
- Set up for you. Founder-led setup of the inbox, knowledge source, and rules. You get a working assistant, not a DIY toolkit.
- What is an AI email assistant?
- An AI email assistant reads your incoming email, sorts it by priority, and drafts replies for you. The Sandlabs version goes further than generic tools: it drafts each reply from your own pricing, policies, and FAQs (so answers are correct and on-brand) and leaves the send button to a human. It works inside Gmail and Outlook, so there is no new app to learn.
- Does it send emails automatically?
- No — not by default. Every reply is created as a draft for a person to review, edit, and send. This keeps you in control and means a wrong or out-of-date answer never reaches a customer. Specific low-risk categories can graduate to auto-send later, per your business, once you trust the drafts.
- Does it work with Gmail and Outlook?
- Yes. The assistant connects to Gmail (Google Workspace) and Outlook (Microsoft 365), applies a priority label, and writes the reply as a native draft in that inbox. Your team keeps working exactly where they already do.
- How do you stop it from writing wrong answers?
- Two ways. First, every reply is grounded — retrieved from your own knowledge source rather than invented by the model — and we keep that source fresh. Second, a human approves every send. If the assistant is not confident or has no good source, it flags the email for a person instead of guessing.
- Is my email data private?
- Yes. Access is least-privilege (read mail and create drafts only — no send permission unless you enable it), your data is never used to train public models, and AU data residency is available so inference runs on-shore. We operate under a clear data-processing agreement.
